Case study

A Northern Ireland charity:
one operating platform.

Three connected systems on one sign-in: an operating system for the whole organisation, a learning platform and a CRM. Around 50 people use it every day, and it took the place of more than a dozen spreadsheets, subscriptions and manual jobs.

Kinds of automated email

01

The system the whole organisation runs on

Everyone signs in once and sees exactly what their role needs, from the people doing the frontline work to staff and finance.

Work moves from first referral to final report, with reports produced as branded PDFs and sent on automatically. Invoices are submitted against logged work, pay is calculated, and draft bills go straight into the accounts system. Bookings, training, a shared directory, news and resources all sit in the same place, and the board gets finance packs on demand.

An AI help assistant sits inside the system, so answers are a question away for everyone who uses it.

02

A learning platform, live in two weeks

We built the charity its own learning platform in place of Canvas, and had it running courses within two weeks.

Participants sign in with an email link, get their slides and resources as each day is released, upload assignments, read feedback and download a branded certificate. Trainers mark work, message everyone at once and issue certificates individually or to a whole group. Bookings flow straight in from the ticketing system, and welcome and feedback emails send themselves.

03

A CRM of their own

Organisations, contacts, deals, tasks and a complete timeline of every email and conversation, with full-text search, data clean-up tools and confidential email controls.

The whole history came across from the old CRM: 5,677 contacts, around 20,000 emails and 4,503 attachments, every one counted and matched. Data is held in Europe, and staff can be given access without paying per seat.

04

Everything connected, everything automatic

The platform talks to the accounts system, the CRM, the ticketing system, email and PDF services and Claude AI, so information moves on its own and nothing is typed twice.

Reminders, follow-ups, welcome emails, alerts and scheduled jobs run by themselves: 27 kinds of automated email across the systems, each one switched on only when the team is ready.

05

Secure and resilient by design

No passwords are stored anywhere: people sign in with a one-time email code or a secure link. Permissions are checked by the server on every request, and audit trails record who did what and when.

The whole platform runs in the charity's own hosting account, with weekly backups and 30 days of point-in-time restore, and costs under £30 a month to host, with no per-seat licences.

A free, no-obligation conversation about where your team’s work gets stuck and what a system built around it could do, with a rough sense of cost. The thinking is yours to keep.
